We Build These Systems for Clients. Here Is What We Built for Ourselves.
There is a version of this story that is easy to tell. AI consultancy builds AI system, everything works perfectly, consultancy grows. The honest version is slightly different.
In the early months of TUSTRA, we were spending our time building infrastructure for clients and neglecting our own. Every new client engagement started from scratch. There was no reusable framework for how we ran an audit, no structured way to track what was happening across projects, and no daily rhythm that kept both of us aligned on priorities without a meeting to make it happen. We were operating on memory, informal notes and the assumption that two people in constant contact would always know what the other was working on.
That assumption does not scale. And it is not a foundation you can build a business on.
So we built the system.
The Intelligence Layer
At the centre of our internal AIOS is a daily intelligence brief.
Every morning at 7am, an AI-generated report lands in our Telegram. It pulls from our meeting transcripts, Google Calendar, website analytics, CRM activity and business context files — and synthesises everything into a single, structured briefing. What happened yesterday. What is coming today. Where clients stand. What needs attention.
This is not a summary someone writes. It runs automatically, every day, whether we are at our desks or not.
Meeting Intelligence
Every client call, every discovery session, every internal conversation is captured automatically and stored in a searchable database. We can search by client name, topic, date or keyword and pull up exactly what was said, when, and by whom. Action items are extracted automatically. Nothing is lost because someone forgot to take notes.
A CRM That Actually Gets Used
Our client and pipeline data lives in a structured CRM. Every company, contact, pipeline stage and activity is tracked in one place. A weekly automated sync pulls from Google Calendar to log meetings and update activity records without anyone having to do it manually.
Reusable Frameworks for Every Client
We built a reusable audit framework — structured questions, process mapping templates and output formats that give every engagement a consistent starting point. We spend less time on setup and more time on the insight. Every client gets the benefit of everything we have learned across every engagement that came before theirs.
Away From Desk Autonomy
The measure we use internally is simple: how many hours can we step away from the business without anything falling apart? With the AIOS in place, the answer is most of them. Meetings are captured. Briefs are generated. Data is synced. Pipeline is tracked.
We build this for our clients because we have built it for ourselves. We know what it takes to get there, and we know what it feels like when it works.
