How a Plumbing Business Stopped Losing Jobs to the Voicemail
How a Plumbing Business Stopped Losing Jobs to the Voicemail
They were not short of work. They were short of hands to answer the phone while they were on it. Every missed call was a potential job, and a potential customer who would simply ring the next plumber on the list.
This is a team of engineers, covering emergency callouts, boiler work, bathrooms, general repairs. Like most trades, the phone rings when they are least able to answer it: up a ladder, under a sink, driving between jobs, or flat out during a cold snap when everyone's boiler goes at once. Calls went to voicemail. Most callers with a leaking pipe do not leave a message. They hang up and dial the next number.
The work was there. It was just walking out of the door while nobody could pick up.
Starting With the Real Problem
Before setting anything up, we spent time understanding how the business actually ran, not how it was supposed to run.
What we found was that the issue was not marketing or demand. The leads were already coming in. The problem was capture. 40% of calls went unanswered during working hours, and almost everything after hours went to voicemail and vanished. Nobody knew exactly how many jobs were being lost, because a missed call that leaves no trace is invisible.
So we started by making the invisible visible: Reviewing call logs to find many calls were going to voicemail whilst the team were on site.
Setting Barry Up Around the Business
Dog and Bone is an AI voice receptionist. But an AI that answers the phone is only useful if it answers the way your business would.
So we shaped it around them. We set Barry up to answer in a natural voice, ask the right questions for a plumbing job — what's happened, how urgent, is the water off, the address and access, and the best time to call back. Emergencies get flagged and sent straight through / marked priority, so a burst pipe is never treated like a routine quote request. Time-wasters and out-of-area calls get filtered out / stay out of the job list.
Every call now becomes a clean, written summary of the job, sitting ready for the team instead of a missed notification and a lost number.
What Changed
Calls that used to go to voicemail now get answered and captured, day or night.
The team picks up a tidy list of jobs instead of trying to remember who called.
Any genuine outcome you can stand behind — more jobs booked, less time lost to phone-tag, fewer leads slipping away. Only if real.
From Answered Calls to a Reliable Front Door
The first win was simple: the phone gets answered. The bigger shift is what that changes.
The business is no longer choosing between doing the work and catching the next job. Both happen at once. The team can stay on the tools knowing that a caller with a real job is being looked after, and that the details will be waiting when they stop.
At TUSTRA, this is what Dog and Bone is built to do. Not replace the person. Make sure the business never misses the moment a customer picks up the phone.
